Purpose:
The Aklan State University (ASU) Human Resource Management Information System (HRMIS) is a centralized platform designed to efficiently manage employee data for purposes related to employment, personnel management, payroll processing, benefits administration, and regulatory compliance.
ASU, in compliance with Republic Act No. 10173 or the Data Privacy Act of 2012, seeks consent for the collection, use, storage, processing, and sharing of personal and sensitive information for legitimate HR-related purposes.
Personal Data Collected May Include (but not limited to):
- Full Name
- Date and Place of Birth
- Gender and Civil Status
- Citizenship
- Home and Contact Address
- Contact Numbers and Email Address
- Government-issued IDs (SSS, GSIS, PhilHealth, Pag-IBIG, TIN)
- Educational Background and Work History
- Emergency Contact Details
- Payroll and Bank Account Information
- Performance Evaluations
- Medical and Health Information (as required by employment)
Use of Data:
- Recruitment and appointment
- Employee records management
- Compensation and benefits administration
- Leave and attendance tracking
- Compliance with government reporting and regulations
- Internal reporting and research for HR planning and development
- Issuance of employment-related certifications
- Disaster and emergency response coordination
Data Protection and Security:
ASU ensures that all collected data will be processed fairly and lawfully, and that appropriate organizational, physical, and technical measures are in place to protect the data against unauthorized access, disclosure, alteration, or destruction. Access to the information is limited to authorized HR personnel and other University officials with legitimate interest, and in accordance with applicable laws and university policies.
Rights of the Data Subject:
As provided under the Data Privacy Act, every employee has the right to:
- Be informed of the processing of personal data.
- Object to the processing under certain conditions.
- Access the data and request correction of inaccuracies.
- Suspend, withdraw, or order the removal of the data if processed unlawfully.
- Lodge complaints before the National Privacy Commission (NPC).
